Privacy & Cookie Policy

What personal information Swim Like A Pro collects, why we collect it, how we use and protect it, and the choices and rights you have.

Last updated · 24 September 2026

This policy explains how Swim Like A Pro handles your personal information when you use our website, send us an inquiry, join a program or team, sign a waiver, or pay us. We keep it as clear and short as we can. If anything is unclear, please get in touch.

Who we are

Swim Like A Pro ("SLAP", "we", "us", "our") is an endurance coaching business based in Clermont, Florida. Founded in 2015 and led by Head Coach Sara McLarty, we provide triathlon, swim and run coaching for adults and youth, and we run the free SLAP Tri Team (the #SLAPPERS community).

For any privacy question, or to exercise your rights, contact us at info@swim-like-a-pro.com or by post at Swim Like a Pro, 205 Carroll St., Clermont, FL 34711, USA.

This policy applies to our website and the services described on it. It does not apply to third-party websites we link to (for example our online waiver provider or Facebook), which have their own privacy policies.

Information we collect

We only collect the information we need to coach you, run the team, and keep the website working. Depending on how you interact with us, this may include the following.

Information you give us directly

  • Contact form: your full name, email address, phone number (optional), the program you are interested in, and the message or goals you type.
  • Online waiver: when you join a team, program, or event, our waiver provider collects the details you enter — for example your name, contact information, date of birth, and signature — so we can manage participation and safety.
  • Mailing list and inquiries: your name and email address when you ask for updates or subscribe to news.

Program, member, and participant information

When you train with us we may hold your name, contact details, emergency contact, and any health, injury, or accessibility information you choose to share, so our coaches can train you safely. For youth programs (#miniSLAPPERS and the High Performance Squad) this includes the participant's name, age, or date of birth and a parent or guardian's contact details.

Payment and transaction information

If you pay for coaching, lessons, camps, team kit, or merchandise, your payment is handled by a third-party payment provider. We receive transaction details such as your name, email address, the amount, the date, and status of the payment, and an order or reference number. We do not receive or store your full card number or banking credentials.

Information collected automatically

When you visit the website, we and our service providers may automatically collect technical information such as your IP address, device, and browser type, operating system, the pages you view, links you click, the site you arrived from and your approximate location. This is gathered using cookies and similar technologies — see Cookies & tracking below.

How we use your information

We use your information only for the purposes below, and only where we have a lawful basis to do so (for example your consent, a contract with you, a legal duty, or our legitimate interest in running the business). Where we rely on consent, you can withdraw it at any time.

Cookies & similar technologies

A cookie is a small text file stored on your device when you visit a website. We also use related technologies such as local storage and pixels. They help the site work, remember your choices, and — where you agree — measure how the site is used and support our marketing.

When you first visit, our cookie consent banner asks you to accept, reject, or customize non-essential cookies. Strictly necessary cookies are always active because the site cannot work without them. You can change your choices at any time using the button below.

Third-party embeds. Some pages include content from other providers — for example an interactive Google Map on our contact page, Google Fonts, and links to social media such as Facebook. These providers may set their own cookies or receive your IP address when their content loads. We do not control those cookies, so please review the providers' own privacy policies.

Manage your cookie choices

Re-open the consent banner to accept, reject, or customize cookies.

You can also block or delete cookies in your browser settings. Note that blocking strictly necessary cookies may stop parts of the site from working properly.

Sharing & the providers we use

We do not sell your personal information. We share it only with trusted providers who help us run the website and the business, and only as much as they need. These may include:

  • Our website host, content delivery network, and the cookie-consent tool that powers this site.
  • Email and communication providers, so we can receive your inquiries and send you updates.
  • Our online waiver provider, waiverelectronic.com.
  • Payment processors that handle card and online payments.
  • Scheduling, calendar, and map providers (for example Google, for embedded maps and calendar feeds).
  • Social media platforms (for example Facebook) when you choose to interact with our pages or groups.
  • Analytics and advertising providers, but only where you have consented to those cookies.

We may also share information with our coaches and staff who need it to deliver a program, with medical or emergency services where it is necessary for safety, with our professional advisers, and with authorities where the law requires it. If the business is ever sold or transferred, personal information may transfer as part of that transaction.

Payments

Payments for coaching, lessons, camps, memberships, and merchandise are processed by third-party payment providers. Your card or bank details are entered directly with the payment provider and are not stored on our servers. We keep a record of the transaction — such as your name, email address, the amount, the date, and a reference — so we can confirm your place, handle refunds or credits, and meet our accounting and tax obligations.

Children & youth programs

Some of our programs are for children and teenagers. For youth programs we collect the participant's name, age, or date of birth, program information, and a parent or guardian's contact details, and we ask the parent or guardian to give consent and to sign the required waiver. We collect only what is needed to coach and safeguard young athletes.

If you believe a child has provided us with personal information without parental consent, please contact us and we will delete it.

How long we keep your information

We keep personal information only as long as we need it, then delete or anonymize it. In practice:

  • Inquiries that do not lead to training: up to 24 months.
  • Clients, members, and participants: for the time you train with us, plus up to 7 years afterwards for legal, tax, and insurance purposes.
  • Waivers and incident records: as long as required for legal and insurance purposes (commonly up to 7 years, and longer where a participant was a minor).
  • Mailing list: until you unsubscribe or withdraw your consent.
  • Analytics and cookie data: no longer than the periods shown in the cookie table above.

We may keep information longer where the law requires it, or where we need it to establish, exercise or defend a legal claim.

Your rights & choices

Depending on where you live, you may have the right to:

  • access a copy of the personal information we hold about you;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete your information (the "right to be forgotten");
  • restrict or object to how we use your information;
  • receive your information in a portable, machine-readable format;
  • withdraw your consent at any time — for example, for marketing or for non-essential cookies;
  • not be discriminated against for exercising your rights.

If you are a California resident, you also have the right to know the categories of personal information we collect and to opt out of the "sale" or "sharing" of personal information. We do not sell your personal information, and you can manage cookie-based sharing using the Cookie Settings control.

To exercise any of these rights, email us at info@swim-like-a-pro.com. We may ask you to verify your identity first. If you are not satisfied with our response, you have the right to complain to your local data protection authority.

Security & international transfers

We use appropriate technical and organizational measures to protect your personal information, including encryption in transit (HTTPS), access controls and limiting who can see your data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

We are based in the United States and generally process information here. Some of our service providers may store or process information in other countries. Where required, we put appropriate safeguards in place — such as standard contractual clauses — to protect information that is transferred internationally.

Changes to this policy

We may update this policy from time to time. When we do, we will change the "last updated" date at the top of this page. If the changes are significant, we will make that clear on this page or by contacting you where appropriate.
